Privacy Policy

SmartDox lets you record on-screen walkthroughs — as screenshots or video — and automatically generate step-by-step documentation through the InteractiveDox doc portal. This policy explains what the Extension accesses, what it collects, how that data is used, and the choices you have.

By installing and using SmartDox, you agree to the practices described below.

1.Summary

  • SmartDox only captures content while you are actively recording. It does not run a recording, take screenshots, or access page content in the background.
  • Captured screenshots, video, and the related step metadata are uploaded to the InteractiveDox backend so your documentation can be generated and stored in your account.
  • We do not sell your data, and we do not use it for advertising.
  • We only collect what is needed to deliver the capture-to-documentation feature.

2.Information We Collect

2.1 Content you choose to capture

When you start a capture session, the Extension may record, depending on the capture mode you select:

  • Screenshots of the active browser tab and the elements you interact with.
  • Screen / tab video of the area you choose to share (Loom-style recording).
  • Camera and microphone input, only if you explicitly enable the camera bubble or voice narration for a video recording.
  • Step metadata describing your interactions — for example click targets, page URLs and titles, and timestamps — used to assemble the step-by-step guide.

Captured media and metadata are uploaded to the InteractiveDox backend (api.interactivedox.com) and stored in your account, including in cloud object storage (Amazon S3).

2.2 Account and authentication data

To associate captures with your account and keep you signed in, the Extension reads authentication cookies/session tokens for the InteractiveDox web application and may store session identifiers locally in the browser.

2.3 Local settings

The Extension stores your preferences and session state (for example capture options and in-progress recording state) locally using the browser's storage so features work across page reloads.

2.4 What we do not collect

  • We do not capture your browsing history outside of an active recording.
  • We do not read page content, passwords, or form data when you are not recording.
  • We do not track you across unrelated websites for advertising purposes.

3.Browser Permissions and Why We Need Them

The Extension requests the following permissions. Each is used solely to support the capture-and-document workflow:

<all_urls> access is broad because walkthroughs can be recorded on any site you choose; however, page content is only accessed while a recording is active.

4.How We Use Your Information

We use the information described above to:

  • Generate step-by-step documentation from your captures.
  • Store and display your captures and generated docs in your InteractiveDox account.
  • Authenticate you and keep your session active.
  • Maintain, debug, and improve the Extension and service.

We do not use your captured content to serve advertising, and we do not sell or rent your personal information.

5.How Your Information Is Shared

We share information only as needed to operate the service:

  • Service providers / infrastructure. Captured media is stored using cloud infrastructure providers (e.g., Amazon Web Services / S3) acting on our behalf.
  • Within your organization. If you use SmartDox through an organization or team account, your captures and generated docs may be visible to other authorized members of that account according to its settings.
  • Legal requirements. We may disclose information where required by law or to protect our rights, users, or the security of the service.

We do not sell your personal information to third parties.

6.Data Storage and Security

Captured content and account data are transmitted over encrypted connections (HTTPS) and stored on the InteractiveDox backend and associated cloud storage. We apply reasonable technical and organizational measures to protect your data. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

7.Data Retention

We retain your captures, generated documentation, and account data for as long as your account is active or as needed to provide the service. You can delete individual captures from your account, and you can request deletion of your data as described in Your Rights below.

8.Your Rights and Choices

Depending on your location, you may have the right to access, correct, export, or delete your personal data. You can:

  • Delete individual captures from within your InteractiveDox account.
  • Stop all capture at any time by ending the recording session.
  • Uninstall the Extension to stop all data collection by it.
  • Contact us to request access to or deletion of your data.

9.Children's Privacy

SmartDox is intended for business and professional use and is not directed to children under 13 (or the minimum age required in your jurisdiction). We do not knowingly collect personal information from children.

10.International Users

Your data may be processed and stored in countries other than your own, including the United States. By using the Extension, you consent to the transfer of your information to these locations.

11.Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above and, where appropriate, through additional notice. Continued use of the Extension after changes take effect constitutes acceptance of the updated policy.
